1. Bookings & confirmation

Enquiries do not constitute a confirmed booking. A booking is only confirmed once a signed quote and the required retainer payment have been received. Event dates are not held without payment.

2. Payment terms

A 50% non-refundable retainer secures your date. The remaining balance is due no later than 5 days prior to the event. Bookings within 5 days of the event — or any booking with a discount applied — require full upfront payment to secure the booking. All payments via bank transfer.

3. Cancellations & refunds

14+ days prior: full refund less $50 admin fee. 7–14 days: 50% non-refundable. Less than 7 days: no refund. The retainer is non-refundable in all circumstances. Cancellations must be in writing to sunstatecollective@gmail.com.

4. Weather & outdoor events

Picnic setups are weather-dependent. We will monitor forecasts and communicate at least 24 hours prior. In severe weather we will reschedule at no additional charge. No refunds for light rain or mild conditions.

5. Council permits

Many parks require a commercial event permit. It is the client's responsibility to obtain permits unless the permit assistance add-on has been selected. Sunstate Collective is not liable for fines or cancellations from unpermitted setups.

6. Equipment & props

All items remain the property of Sunstate Collective and will be collected after the event. The client is responsible for the safe keeping of all hire items during the event. Damage, loss or theft will be charged at replacement cost.

7. Balloons & florals

Helium balloons typically float for 6–8 hours outdoors and may be affected by heat and wind. Fresh florals are sourced close to the event date and exact blooms may vary subject to seasonal availability.

8. Grazing boards

Grazing board contents may vary based on seasonal availability. Sunstate Collective will notify clients of any substitutions. Boards are to be consumed on the day and are not suitable for storage or transport after the event.

9. Liability

Sunstate Collective is not liable for injuries, property damage or losses arising from the client's use of the setup. The client is responsible for supervising children around décor items and balloons.

10. Photography & portfolio

Sunstate Collective may photograph setups for portfolio and social media purposes. No identifying client details will be published without consent. Opt-out requests must be made in writing prior to the event.

11. Governing law

These terms are governed by the laws of Queensland, Australia.
